Experience of PUCE in the Certification of the Document Management and Archiving Process

Abstract
The quality management processes in higher education are fundamental to ensure that universities offer effective programs that train competitive professionals capable of meeting the demands of both the local and global contexts. The objective of this study was to systematize the Document Management and Archiving Certification Process for third-party accountability (GDRT) of the Medicine program at the Quito campus of PUCE, with ACREDITAE, focused on meeting the international quality standards of the World Federation for Medical Education (WFME). A descriptive study was conducted to systematize the certification process, aiming to meet the WFME's international quality standards. This included a thorough review of documentation and interviews with stakeholders to gather information, which is presented in the following phases: planning, execution, results, and lessons learned. For the certification process, criteria 8 and 9 established by the SIC were reviewed. During this process, we emphasized the importance of having proper planning, teamwork, complete and up-to-date documentation, effective communication, and continuous monitoring and support. In conclusion, it is essential for universities to include accreditation processes in their strategic planning that assess document management systems, enabling them to offer programs with the highest quality standards, as well as establishing a baseline for achieving continuous improvement in the teaching process.
